When you need a complete record of email correspondence for legal, HR, or compliance purposes, the EML export format is the most reliable choice. Here is why and how to use it.
Why EML files?
EML files (RFC 5322 format) preserve the original email headers — sender address, receiver address, date, message-ID, and routing information — exactly as they were when the email was delivered. Most legal discovery platforms, eDiscovery tools, and court filing systems accept .eml files directly. Each email is a separate file, making it easy to reference and produce individual messages.
Step-by-step:
1. Go to the Gmail Sender & Query Exporter tool.
2. Connect your Gmail account with Google OAuth (read-only access).
3. Choose "From sender" and enter the email address of the sender or sender domain you need to export.
4. Review the preview — it shows how many emails match your search.
5. Continue to the export preview. Published tools are free during launch.
6. Select "EML files (ZIP)" as the export format.
7. Click "Export". Your browser will download a ZIP archive containing one .eml file per email.
8. Unzip the archive and keep the files in a secure location.
Tips for legal use:
- Add date filters to limit the export to the relevant period. In the search box, enter a query like: from:example@company.com after:2022/01/01 before:2024/01/01
- For HR or landlord correspondence, you can also use "Subject contains" to narrow results.
- If you need to produce emails in PDF form, choose the "HTML readable" format and use your browser's "Print to PDF" option.
- Keep the original ZIP archive — do not re-save or re-export individual emails, as that can alter timestamps.
